Description of Position Job Summary The Director of Operations will plan, direct, coordinate, and oversee day-to-day operations activities in the organization, ensuring development and implementation of efficient operations, cross-departmental collaboration, and cost-effective systems and processes to meet current and future business objectives. Duties/Responsibilities
  • Develop, sustain and streamline the operational organization side of the business to provide consistent systems, processes and support to the firm in general, and the legal ops specifically.
  • Establishes, implements, and communicates the strategic direction of the firm’s operations division
  • Collaborates with executive leadership and department leaders to develop and meet company goals while supplying expertise and guidance on operations projects and systems
  • Provides project management coordination and collaboration with other divisions and departments to carry out the organization’s goals and objectives
  • Helps build unified implementation and management of projects, initiatives, organizational alignment, and cross-department collaboration through streamline facilitation of effective meetings, rhythms, notes and agendas, and reporting
  • Identifies, recommends, and implements new processes, technologies, and systems to improve and streamline organizational processes and use of resources and materials
  • Ensures that departmental decisions and project plans such as those for staffing, development, organization, material efficiency and facilities are in line with the organization’s business plan and vision
  • Establishes, communicates, and implements operations-related policies, practices, and standards to ensure effective and consistent support and execution
  • Presents on-going and regular performance reports and metrics to chief executive officer, managing attorney and other leadership team members
  • Maintains knowledge of emerging technologies and trends in operations management.
  • Designs and streamlines day-to-day operations throughout all firm locations
  • Participate in interviewing, coaching and managing management level team members.
  • Maintains, facilitates, and is a model in sustaining a positive, collaborative team-environment throughout all locations
  • Participate in, conducts, and helps department leaders as needed to perform frequent performance reviews to ensure compliance with SOP by all staff. Identify deficiencies and coordinate training and performance management with the appropriate personnel (i.e. HRD, Training Coordinator & Managing Attorney)
  • Oversee all operational and administrative functions of the office in all firm locations
  • Oversee and coordinate all IT initiatives including but not limited to new office technology, day to day service/support, software conversions/implementations, and technology vendors
  • Manage all office and facilities requirements including supply order, building services, equipment maintenance
  • Improve work product by creating efficient workflow processes for lawyers and staff. Document logical methods of handling transactions, procedures, workflow to minimize waste, conserve professional time and optimize productivity
  • Ensure systems (i.e. Needles or existing case management software) are utilized and all staff are following protocols
  • Develop/update procedures manual
  • Develop work coverage and strategy for team members (legal assistants, receptionists, paralegals, intake specialists and medical records associates.)
  • Develops systems and processes to ensure the entire office is presentable and clean at all times.
